1. Our Services

1.1. Team Pamper (‘We/Us / Our’) provides mobile beauty therapy treatment services, Hair & make up and tutorials (Treatments & Tutorials’) and organises the delivery of these services to our clients (‘You / Organiser’) and your clients ( Your Clients), by bringing together individual service providers such as freelance beauty therapists, massage therapists, Hair and makeup stylists and tutors (‘Service Providers’) at a venue decided by You (‘Venue’) (the ‘Services’).

1.2. A full list of Services available from Team Pamper can be found at www.teampamper.com (the ‘Website’).

1.3. Service Providers are not Our employees or partners, they are self-employed or engaged under a contract for services. All Service Providers are fully insured and possess all necessary qualifications and standards in order to carry out their services.

1.4. Service Providers are required to act professionally at all times and carry out their services with reasonable care and skill, and in line with good industry practice.

2. Booking with Us

2.1. Please ensure that you read these Terms and Conditions carefully, and check that the details on the Booking Form and in these Terms and Conditions are complete and accurate, before you sign and submit the Booking Form. If you think that there is a mistake or require any changes, please contact Us to discuss. We will confirm any changes in writing to avoid any confusion between you and Us.

2.2. When you submit the completed Booking Form to Us (‘Booking Enquiry’), this does not mean We have accepted your booking for Services. Our acceptance of the booking will take place as described below at clause 3. If We are unable to supply you with the Services, we will inform you of this and We will not process the Booking Form.

2.3. These Terms and Conditions will become binding on You and Us when We contact you to tell you that We are able to provide you with the Services at which point a contract will come into existence between You and Us.

3. Bookings

3.1. A provisional booking will be made and held for 7 days, or 24-hours for Booking Enquiries within 28 days of the required date.

3.2. The booking will be confirmed on receipt of a completed and accepted Booking Form and the required deposit (‘Confirmed Booking’). Any changes thereafter will incur a £20 administration charge.

3.3. A non-refundable deposit of 20% of the booking fee total (‘Service Fee’) is payable by the Client in order to confirm the booking of Service.

3.4. Services are priced and staffed based on the total number of Clients and Treatments stated and agreed via the Confirmed Booking. No refund or deduction of monies will be made for any cancellation of Treatments or Clients, thereafter.

3.5. Deposit taken will be deducted from full amount, it is not Team Pampers responsibility to refund all Clients individually, the named organiser or company is responsible for this duty.

3.6. All corporate goody bags must be ordered and paid for prior to the event/s.

3.7. An additional charge may be applicable to cover Service Providers’ travel costs, depending on the required location of Services. Travel costs are charged from 0.45p per mile to and from the location We will agree this with You and confirm this in the Confirmed Booking. Parking costs varied between £3.00 – £8.00 per hour will be added to invoice if no free parking is available.

4. Payment

4.1 Full payment minus deposit should be received by us 28 days before your event.

4.2. We are able to accept a direct bank transfer or pay by link from our online invoice app for payment of the balance of the Service Fee.

4.3. Payment of the balance of the Service Fee as set out in the Confirmed Booking must be made in cleared funds 30 days after invoice date.

4.4. Please note that cash settlement on the day of Services may only be made with prior arrangement.

5. Providing services

5.1. We will supply the Services to you on the date and at the times set out in the Confirmed Booking.

5.2. We will make every effort to complete the Services on time. However, there may be delays due to an Event Outside Our Control or due to Your non-compliance with Your Client Obligations.

5.3. We will need certain information from you that is necessary for Us to provide the Services, for example, the Organiser’s contact details and Medical Information and Consent Form.

5.4. We will make available to you a Medical consultation and Consent Form for each Client to complete at time of event.

5.5. The Service Provider is entitled to breaks during the course of the Services and these will be agreed in advance with You.

5.6. If you do not pay Us for the Services when you are supposed to as set out in clause 4. We will not be able to provide you with the Services and we will be entitled to retain the non-refundable deposit.

5.7 Late working fee payment

Late night payment scheme for our therapists/stylists.

Bookings ending after 20:30 – A cost of £10.00 is added per therapist to total amount

Bookings ending after 10:30 – A cost of £20.00 is added per therapist to total amount

Bookings ending after 00:00 – A cost of £50.00 is added per therapist to total amount

All late payments are paid directly to our staff

6. Client Obligations

6.1. You must ensure that Your Clients arrive in time for the Services start time. The Service Providers will make every effort to accommodate any changes due to lateness but in such an event We can will not be liable for loss of any time for the Treatments.

6.2. You must ensure that We are provided with Medical Consultation and Consent Forms for You and each of Your Clients.

6.3. You will be required to provide adequate space at the Venue in order for Us to be able to perform Our Services and may be required to provide tables and chairs (i.e. for massage, facials, manicures, brow treatments) and space for one or more massage tables. We will discuss these requirements with you following your booking enquiry.

6.4. It is advised that in order to gain maximum time, relaxation and effective results from Treatments, smaller children and pets are not present at the location. In any event, all Clients under 16 must be supervised by a parent. We cannot be held responsible for the supervision of children.

6.5. Non disposable items remain the property of the Service Provider.

6.6. Due care and consideration must be taken with the Service Provider’s equipment and You accept that you are responsible and must pay for any damage caused by You or Client (or a child or pet in attendance).

6.7. You must make all reasonable efforts to ensure that your Clients limit the intake of alcoholic beverages prior to, or whilst receiving Services.

6.8. Service Providers may refuse Treatments to any Organiser or Client who is reasonably believed to be under the influence of drugs or excessive alcohol, no refund will be given.

6.9. A smoke free environment is required to provide the maximum Treatment benefits and We request that Guests refrain from smoking in close proximity to the location of the Services.

7. Medical Issues

7.1. Any conditions must be stated on the Medical Conditions and Consent Form at the time of treatment and also prior to Treatment by the Service Provider, including (but not limited to): injuries, migraines, allergies, high or low blood pressure, pregnancy, cancer, osteoporosis, diabetes, fungal infections, skin ailments, high or low temperature, heart conditions, dysfunction of the nervous system, or any surgical procedures within a 12 month period.

7.2. If any conditions set out in clause 7.1 apply to a Client or Guest then We or a Service Provider may refuse to provide a particular Treatment.

7.3. In some cases a medical practitioner’s consent must be produced in writing before a Treatment can be offered. We will request this once we are notified of the condition at the time of the Booking Enquiry.

7.4. Regarding pregnancy: If any or your Clients require pregnancy massage (after 12 week trimester) please inform us before your event. We do not provide a prenatal massage specialist Service Provider unless specifically requested. We will not therefore administer any full body massage or back massage to a pregnant Client unless a qualified therapist is requested.

8. Events Outside Our Control

8.1. We will not be liable or responsible for any failure to perform, or delay in performance of, any of Our obligations under these Terms and Conditions that is caused by an Event Outside Our Control.

8.2. An Event Outside Our Control means any act or event beyond Our reasonable control including without limitation unavailability of the required Service Providers on the date of the Service due to sickness or travel issues or an event under clause 6.8.

9. Cancellation policy

9.1 Cancel before 28 days before the event = 100% refund

Cancel within 27 – 13 days before the event = 50% refund

Cancel within 14 days no refund given.

Pamper Experiences ( Pamper Packages 1- 3 clients)
Cancellation before 48 hours) No charge

9.2. If we cancel a Confirmed Booking a full refund of the Service Fee will be made (including the deposit).

10. Our Liability to You

10.1. We cannot be held responsible for any adverse reaction caused by delivery of Our Services due to non-disclosure of a medical condition at the time of booking, on the day of the Services and /or not clearly stated on the Medical Information and Consent Form.

10.2. We shall not be liable to You, a Guest or Client for any loss, injury, damage, expense or delay suffered due to the consequences of any act or omission (whether wilful, negligent, reckless, dishonest or otherwise) caused by a Service Provider which takes place during the Services. You and your Guests accept that Team Pamper fees are set on the basis that it has no such liability.

10.3. We do not exclude or limit in any way Our liability for death or personal injury caused by Our negligence or fraud or fraudulent misrepresentation.

11. MOBILE TREATMENTS & STYLING FOR EVENTS & OFFICES

11.1 Please ensure that an area is clear for our therapists/stylists to set up their couches and equipment. Team Pamper therapists & stylists are not required to clear areas or move heavy furniture this is organiser and Client’s responsibility. If time is taken to clear a venue this may lead to shortened treatments for Your Clients.

11.2 We at Team Pamper endeavour to provide a wide variety of services. However, on the rare occasion If you have chosen a package that only requires one therapist then choice of treatments may be limited to just beauty or massage treatments. We will always endeavour to supply a therapist who offers the widest range of treatments possible. Information about treatments is provided as a guide only.

11.3 Therapist/s provided by Team Pamper work on a freelance basis. Therefore, each Therapist/s may have different qualifications and individual ways of working. We cannot guarantee any requests not stated at the point of enquiry. Any late starting of treatments will result in reduction of treatment time.

11.4 General (Treatments & Styling).

11.5. All treatments can only be given to pregnant clients who are passed the 1st trimester of their pregnancy (12 weeks).

11.6. The Organiser will ensure that their Clients arrive on time for their pre-scheduled treatment/s. If changes are made your therapist will make every effort to accommodate this including lateness but in such an event The

11 .7. Late bookings can usually be accommodated. Our late booking payment policy requires for full payment upfront with an additional cost, to be confirmed. This charge applies to bookings with less than 2 weeks’ notice of the event date. We also request that participants are flexible regarding the treatments/services they would like to receive.

11.8. Bank Holidays: We are happy to supply our services on Bank Holidays, depending on therapist availability. A surcharge maybe added to your costs if party location and date conflicts with an event (public) in the chosen city, town or location. This surcharge is to cover travel time for our therapists to your venue.

11.9. If you would like to change your guest numbers, we are happy to make small adjustments before your final payment. If the number of guests does change, so too may the number of therapists we are able to supply and this may affect the treatments available. Team Pamper will have no liability for any loss of Treatment/s time.

12. MOBILE HAIR & MAKE UP SERVICES

12.1. Our Hair and Makeup services are available across London, and UK main cities. Please contact us for a complete list of locations.

12.2 Our sessions are up to 10 – 60 minutes duration.

12.3 If you have a theme for your event. Please let us know in advance and send us photo’s of your chosen style so we can inform your stylists in advance. Advanced make up themed events may incur extra costs.

12.4 Hairstyling expectations: We offer a range of hairstyling options although these are dependent on length and thickness of a client’s hair. (Please be aware that certain hairstyles may not be possible in a short-allocated time slot, booking extra time will be needed at an additional cost to the client) To avoid disappointment, please speak with our team before your event to decide whether to extend your session accordingly prior to your event not on the day.

13.5 Make up expectations: 10-15 minutes – Eyes & lips, 25 – 30 minute evening make up – Base make up, eyes, lips, blusher. If you require make up theme i.e., Halloween, prices will be higher, please ask us for a bespoke quote.

13.6 Each hairstylist will need a table, chair and up to 3 plug sockets for their styling equipment: Tongs, straighteners & hair dryers. Makeup artists will require a chair and table for the makeup kits.

13.7 If you are choosing a blow dry; Please ask your Client to wash and towel dry your hair before hairstyling session. If you have chosen dry styling session, please advise Your Clients, to wash hair preferably one day before if possible and dry and ready for session.

13.8 Please inform Your stylists of any allergies before your sessions begins, please complete our consultation form.

13.9 Any hair pieces or wefts will take a longer time to add to a style. There will be an extra charge for this service. Please organise this with us before your event.

13.9a. Clients are asked to arrive promptly for their appointments. Any late starting of treatments will result in reduction of styling time.

15. PAYMENT

15.1 Payment for an appointment must be made in full by the client at time of booking. We reserve the right to cancel any appointment where funds have not been paid within these requests and if late payment occurs, we may add on an additional admin fee to compensate for this.

15.2 Payments for bridal parties or large groups must be paid in full in one transaction. Split group payment is not accepted.

16. CONSULTATION

16.1 Each client is asked to complete our short consultation forms before their styling sessions begins. This enables your stylists to establish if you have any health issues or allergies that may affect your styling appointment. Each stylist is individually and professionally responsible for their own clients and their consultation. After completion of your consultation, you will give consent and permission to the make up or hair artist to perform the procedure discussed, using the makeup and/or products of their choice and will consent to not hold the stylist liable for any adverse reaction to the make up or procedure today or any date in the future.

17. POP UP PAMPER EVENT SERVICES

17.1. The Client must ensure that chosen area for pop up bell tent is free from any obstructions including shrubs, trees and vehicles and other obstructions. PP reserves the right to apply a discretionary surcharge if the starting of work is delayed, or treatment time will be shortened.

17.2. If on arrival to the site your chosen area to your camp is more than 20 metres away a surcharge will be applied.

16.3. Appropriate provision for parking must be supplied and all parking costs must be paid in advanced by client.

17.4 Delay or failure by Team Pamper to complete the contract – Pop up Pamper

The Company will use its best endeavours to supply the client our Pop up Pamper tent but where this is not possible the company will notify the Client as soon as possible with any alterations to the design and specifications of the equipment and where alteration is fundamental the Client may terminate this contract and any deposit paid will be refunded.

17.5. In the unfortunate event that we have to cancel your event due to Force Majeure, including high winds that make it impossible to set the tent up or heavy rain making the ground too wet to make the tents safe we will offer you a different date with the same package, number of guests, tent and distance.

17.6. We have no control over the weather and we will always assess the situation for the safety of our customers and therapists. We are not obliged to offer you a refund.

18. TEAM PAMPER PRIVACY POLICY

18.1 As part of the new General Data Protection Regulation which came into effect on the 25th May 2018, Team Pamper would like outline our data protection policies and terms of service which will apply to anyone booking with us or using our services.

18.2 To ensure we follow the correct guidelines for respecting our client’s data we have written the following information below for our client’s to read and better understand what we use your data for, how we manage it and why we require it. By booking with us and using our services we consider you and all persons involved in the booking to be in agreement to our privacy policy relating to your personal data.

18.3 What type of information is collected from you?

The personal information we collect might include your name, address, email address, IP address, and information regarding what pages are accessed and when. If you purchase a product or service from us, your card information is not held by us, it is collected by our third party payment processors, who specialise in the secure online capture and processing of credit/debit card transactions, as explained below. A minimum amount personal information is requested from our clients to enable us to work as a business effectively. The data and personal information you provide us with such as your name and contact details will not be disclosed with any sources outside of our business, unless discussed with you first, our client. Our clients privacy is of the utmost importance and we take upmost care of our data protection procedures to ensure we maintain and exceed our responsibilities in relation to storing your data.

18.4 By using our services and booking forms by Team Pamper, we consider you to have provided consent for us to collect this data from you and for this information to be used in the following ways outlined below in our fair processing notices.

• Treatment or package enquiry submission form therein: name, email address, venue, packages address/postcode & contact number

• Submitting a booking form: name, email address, venue address/postcode, contact number, occasion: Office pamper, Event Massage, event Pop up Salon

• Inviting Your Clients to provide information: name, email address

• Sharing customer details with therapist: Telephone number, venue address, names of Your Clients (first names and last names)

• Registration of therapist (as per all the fields in the therapist registration form)

• Notify you of changes to our services; Send you communications which you have requested and that may be of interest to you. These may include information about existing or new product, competitions, promotions of our associated companies’ goods and services;

• Medical Data/Sensitive data Before all treatments, your therapists/stylists will ask you to complete our a short consultation, Questions asked – Name, Date of Birth, Address, telephone number, Occupation, Email address (for newsletter email), GP and a set of medical questions. These details are needed for your therapist/stylists so your therapist/stylist can conduct their session with full knowledge of any health issues that may affect your treatment or styling session. Also, we need your personal details for each therapist/stylist for their individual insurance policies. These details are strictly private and are not given to any 3rd person or businesses. Medical cards are kept in a locked cabinet to up to 4 years after treatment.

19. YOUR RIGHTS

19.1 The GDPR Laws has now come in to affect. You our client, have the right to access information held about you by us, The Perfect Pamper, we want to make it easy for you to withdraw consent should you want to at any point. 20. REVIEWS AND FEEDBACK

As a company, we pride ourselves on our beauty, massage and customer services. After your experience with us we may contact you via email with specific questions regarding your experience with us and our services. We consider your agreement and participation in the service (for example booking with us) as consent to contact you and undertake this survey although anyone is welcome to opt out of this at any time and there is no obligation to leave a review or provide us with any feedback.

21. PHOTOGRAPHY

21.1 During our appointment/booking with you we may take photos which we may use on our website and social media platforms. With permission being granted to take these photos and for you allowing us to do so we take this participation and agreement as consent to use the images on our website and social media. We may use your first name along with any photos on the respectful platforms and by booking with us you acknowledge consent for us to do this. You are fully entitled to deny any images being taken and to opt out of your images being used at any time in which they will be removed and no longer used online.

21.2 After our appointment with you we may contact you via email to ask if you would be happy to send us some photos from your wedding day, hair and makeup appointment or hen party. We consider any photos you send us as consented images to use on our website www.teampamper.com and all our social media platforms including Instagram, Facebook, Pinterest and Twitter. Where possible we want to credit the photographer, please send us the name and company. You are not obligated to send us any images and entitled to opt out of this anytime in the future whereby we can remove the images from our website and/or social media.
